Remove Administrator from GAL in Outlook and Exchange 2003

Microsoft Outlook users are sending email to the Administrator account when they want to email the nursing home administrator. Here's an easy solution.

I am consulting for a retirement home/skilled nursing facility. Is there a way to remove the "Administrator" account from the global address list (GAL) in Microsoft Outlook and Exchange Server 2003? The users are confusing the "Administrator" account with the nursing home administrator and sending email to the wrong place.

You may want to just rename the Administrator account or hide it from Outlook users. The administrator account has permissions assigned during installation that would be some what difficult and time consuming to recreate.


I know this is an old question, but I know many people still use Exchange Server 2003 and I would like to give them a solution to this question.

  • Go to the Start Menu -> Administrative Tools -> Active Directory Users and Computers.
  • On the left side column, expand your domain and click on the Users folder.
  • Right click on the user (in this case, the Adminstrator) that you would like to hide from the Global Address List (GAL), and click Properties.
  • Click the tab named Exchange Advanced.
  • Make sure the box is checked next to "Hide from Exchange address lists."

This will effective hide that user from the GAL and avoid any confusion for end users.
